How to access different types of records, including student, staff and administrative school records.

Access school records as a victim-survivor.

Student records

These include: enrolment records, student wellbeing records, school results (Year 10 and VCE), and yearly reports.

School results

You may need specific results for further study or other applications.

For example, the Australian Defence Force has a minimum requirement of a pass in both Year 10 Maths and English. To prove you passed Year 10 English and Maths for the ADF, you can provide a copy of your Year 10 certificate or final school report.

Current VCE student looking for this year’s results VCE results and ATAR service - VCAA
Former student looking for results from previous years Order replacement results and certificates – VCAA
Where the record is Contact the Registered Training Organisation (RTO) or TAFE directly.If it has closed, contact the Victorian Registration and Qualifications Authority (VRQA).

School reports

Your school reports were created at least yearly for your entire schooling (primary and secondary) and contain information about your academic achievement and progress.

Where the record is If the school is open: contact the school directly.If the school is closed, merged or changed name: email the records team archives.records@education.vic.gov.au.
Who can access The student, or a person the student authorises to act on their behalf.
Note Schools are only required to keep primary school reports for 6 years after a student has left.

Enrolment records

Enrolment records show that you attended a school.

If your school is closed Contact the Department of Education’s records team at archives.records@education.vic.gov.au or call 1800 359 140.
If your school is open Usually more recent records will be at the school. Contact the school directly.Records from before 2007 may be in hardcopy and stored at the school, the department, or the Public Records Office Victoria.Check the Victorian Government Schools Directory for the location of hardcopy records for your school.

Student wellbeing records

These records hold information about the wellbeing support a student receives.

Where the record is Usually held by the school or the department, depending on when it was created.

Staff records

School staff employment records

School staff employment records show where and when a person was employed, and other details about their employment. The records include both teaching and non-teaching staff.

Where the record is This depends on when and how the person was employed.More recent records are held by the school and the department.Older records may be held by the department or the Public Record Office Victoria.
Who can access The staff member, or a person the staff member authorises to act on their behalf.

Teacher discipline records

A teacher discipline record is made when a teacher is accused of doing something wrong that needs investigation.

Where the record is Department of Education.
Who can access Access is restricted. Some information may be available through a Freedom of Information request.

Administrative school records

Administrative school records include: school council minutes, financial records, yearbooks, school policies, school photographs, etc.

Where the record is If the school is open: contact the school directly.If the school is closed: email the records team at archives.records@education.vic.gov.au.
Who can access Access depends on the type of record, how old the record is, and other requirements such as privacy.

Records from non-government schools
